Terms of Service

Welcome to Shortlisted. These Terms of Service (“Terms”) govern your access to and use of Shortlisted, including our website, application, AI-assisted resume and cover letter tools, and related services.
By creating an account, accessing, or using Shortlisted, you agree to these Terms. If you do not agree, do not use Shortlisted.
1. Overview of Shortlisted
Shortlisted is an AI-assisted resume and cover letter tailoring service. The service helps users adapt their existing resume, work history, and application materials to specific job descriptions.
Shortlisted is designed to help users create more relevant, accurate, and reviewable application drafts. It does not replace your judgment, guarantee employment outcomes, or verify the truthfulness of your information.
You are responsible for reviewing, editing, and approving all materials before using them.
2. Eligibility
You must be at least 18 years old, or the age of majority in your jurisdiction, to use Shortlisted.
By using Shortlisted, you represent that:
- You are legally able to enter into these Terms.
- You will provide accurate account information.
- You will use Shortlisted only for lawful purposes.
- You will comply with these Terms and all applicable laws.
If you use Shortlisted on behalf of another person, company, or organization, you represent that you have authority to do so.
3. Accounts
To access certain features, you may need to create an account.
You agree to:
- Provide accurate and complete account information.
- Keep your login credentials secure.
- Notify us promptly if you believe your account has been compromised.
- Be responsible for all activity under your account.
We are not responsible for losses caused by unauthorized use of your account unless required by law.
We may suspend or terminate your account if we believe you have violated these Terms, misused the service, created risk for Shortlisted or others, or used the service unlawfully.
4. Your content
“Your Content” means information, materials, files, text, documents, job descriptions, resumes, cover letters, prompts, edits, or other content you upload, paste, submit, generate, or otherwise provide through Shortlisted.
This may include:
- Resume content
- Work history
- Education
- Skills
- Certifications
- Career achievements
- Cover letter content
- Job descriptions
- Employer or role information
- Notes, edits, and prompts
You retain ownership of Your Content.
By using Shortlisted, you grant us a limited license to use, host, store, process, reproduce, modify, display, and transmit Your Content only as reasonably necessary to:
- Provide the service
- Generate AI-assisted outputs
- Maintain and improve Shortlisted
- Troubleshoot issues
- Protect against misuse
- Comply with legal obligations
You represent that you have the rights necessary to provide Your Content and that Your Content does not violate any law or third-party rights.
5. AI-generated outputs
Shortlisted may generate resume drafts, cover letter drafts, suggested edits, summaries, keyword alignment notes, or other AI-assisted content (“Outputs”).
AI-generated Outputs may be inaccurate, incomplete, misleading, inappropriate, or unsuitable for your intended use. You are solely responsible for reviewing, editing, verifying, and approving all Outputs before using them.
You agree not to submit any Output in a job application unless you have reviewed it and confirmed that it is accurate, truthful, and not misleading.
Shortlisted does not intentionally create fake qualifications, fake work history, fake employers, fake credentials, or invented metrics. However, AI systems can make mistakes. You are responsible for catching and correcting any errors.
6. No employment guarantee
Shortlisted does not guarantee:
- Interviews
- Job offers
- Employment
- Salary increases
- Recruiter responses
- Applicant tracking system performance
- Resume ranking
- Hiring outcomes
- Accuracy of job-market recommendations
Any examples, testimonials, or case studies are illustrative only and do not guarantee that you will achieve similar results.
7. Honest use requirement
Shortlisted is intended to help you present your real experience more clearly and relevantly.
You agree not to use Shortlisted to:
- Create false or misleading resumes
- Invent employment history
- Invent education, degrees, licenses, or certifications
- Invent job titles, responsibilities, skills, or accomplishments
- Add fake metrics, revenue numbers, percentages, or results
- Misrepresent your identity or qualifications
- Submit fraudulent job applications
- Violate employer, recruiter, platform, or job-board rules
We may suspend or terminate accounts that use Shortlisted for deception, fraud, or unlawful purposes.
8. User responsibilities
You are responsible for:
- The accuracy of the information you provide
- The accuracy of resumes, cover letters, and other materials you submit
- Reviewing all AI-generated content before using it
- Complying with job-board, employer, and recruiter requirements
- Keeping copies of materials you want to preserve
- Ensuring your use of Shortlisted complies with applicable law
You should not upload unnecessary sensitive information, such as Social Security numbers, government identification numbers, financial account numbers, medical information, passwords, or other highly sensitive data.
9. Acceptable use
You agree not to:
- Use Shortlisted for unlawful, harmful, deceptive, abusive, or fraudulent purposes
- Interfere with or disrupt the service
- Attempt to access accounts, systems, or data without authorization
- Reverse engineer, scrape, crawl, or copy the service except as permitted by law
- Use automated systems to overload or abuse the service
- Circumvent usage limits, payment requirements, or security controls
- Resell, sublicense, or commercially exploit Shortlisted without permission
- Upload malware, harmful code, or malicious content
- Violate intellectual property, privacy, publicity, or other rights
- Use Shortlisted to generate discriminatory, harassing, defamatory, or unlawful content
We may investigate and take action if we believe you have violated this section.
10. Plans, pricing, and payments
Shortlisted may offer free, one-time, subscription, beta, promotional, or paid plans.
Current or planned pricing may include:
- A one-time application tailoring option
- A monthly unlimited plan
- Free trial or limited free usage
- Promotional offers or beta access
Actual pricing, features, usage limits, and billing terms will be shown at checkout or on the pricing page.
By purchasing a paid service, you authorize Shortlisted or our payment processor to charge your selected payment method for the applicable fees, taxes, and recurring charges.
Payments may be processed by a third-party payment provider such as Stripe. We do not control all payment processing activities and are not responsible for payment processor errors except where required by law.
11. Subscriptions
If you purchase a subscription, your subscription will automatically renew unless you cancel before the renewal date.
By subscribing, you authorize recurring charges at the stated billing interval until you cancel.

Cancellation stops future renewal charges but does not automatically refund past charges unless required by law or stated in our refund policy.
12. Refunds
Unless otherwise stated at checkout or required by law, fees are non-refundable.
However, we want users to have a fair experience. If you believe you were charged in error or had a serious service issue, contact us at:

We may review refund requests on a case-by-case basis.
- One-time purchases may be eligible for a refund if no AI tailoring output has been generated.
- Subscription charges are generally non-refundable once a billing period begins.
- If a technical issue prevents meaningful use of the service, we may offer a refund, credit, or extension at our discretion.
13. Free trials and promotional offers
Shortlisted may offer free trials, free credits, discounted plans, beta access, or promotional offers.
We may modify, limit, or end promotional offers at any time.
If a free trial converts to a paid subscription, we will disclose the terms at signup or checkout.
14. Beta features
Shortlisted may offer beta, experimental, or early-access features.
Beta features may be incomplete, unstable, inaccurate, or changed at any time. We may modify, suspend, or discontinue beta features without notice.
You use beta features at your own risk.
15. Intellectual property
Shortlisted and its website, software, design, branding, logos, workflows, templates, and underlying technology are owned by Shortlisted or its licensors.
These Terms do not grant you ownership of Shortlisted’s intellectual property.
You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works from Shortlisted except as permitted by these Terms or applicable law.
16. Feedback
If you provide feedback, suggestions, ideas, or recommendations, you grant us the right to use them without restriction or compensation to you.
We may use feedback to improve Shortlisted, develop new features, update marketing, or modify the service.
17. Third-party services
Shortlisted may integrate with or link to third-party services, such as:
- Google sign-in
- Payment processors
- AI model providers
- Hosting providers
- Analytics tools
- Job boards
- Employer websites
- File storage providers
Your use of third-party services may be governed by their own terms and privacy policies. We are not responsible for third-party services, websites, content, or practices.
18. Privacy
Your use of Shortlisted is also governed by our Privacy Policy.
Please review our Privacy Policy to understand how we collect, use, and protect information.
19. Service availability
We aim to keep Shortlisted available and functioning, but we do not guarantee uninterrupted or error-free service.
Shortlisted may be unavailable due to:
- Maintenance
- Updates
- Security issues
- Provider outages
- Technical failures
- Changes to third-party services
- Events outside our control
We may modify, suspend, or discontinue any part of the service at any time.
20. Disclaimers
Shortlisted is provided “as is” and “as available.”
To the fullest extent permitted by law, we disclaim all warranties, express or implied, including warranties of:
- Merchantability
- Fitness for a particular purpose
- Non-infringement
- Accuracy
- Reliability
- Availability
- Error-free operation
We do not warrant that Shortlisted will meet your expectations, produce accurate or complete outputs, improve your job prospects, or operate without interruption.
21. Limitation of liability
To the fullest extent permitted by law, Shortlisted and its owners, employees, contractors, service providers, and affiliates will not be liable for:
- Lost profits
- Lost opportunities
- Lost job prospects
- Lost data
- Business interruption
- Reputational harm
- Indirect, incidental, special, consequential, exemplary, or punitive damages
- Damages resulting from AI-generated content
- Damages resulting from your use of resumes, cover letters, or application materials
To the fullest extent permitted by law, our total liability for any claim related to the service will not exceed the greater of:
- The amount you paid to Shortlisted in the three months before the claim arose, or
- $100
Some jurisdictions do not allow certain limitations of liability, so some of these limitations may not apply to you.
22. Indemnification
You agree to defend, indemnify, and hold harmless Shortlisted and its owners, employees, contractors, service providers, and affiliates from and against claims, damages, losses, liabilities, costs, and expenses, including reasonable attorneys’ fees, arising from or related to:
- Your use of Shortlisted
- Your Content
- Your use of AI-generated Outputs
- Your job applications or employment-related materials
- Your violation of these Terms
- Your violation of applicable law
- Your violation of third-party rights
- Fraudulent, misleading, or unlawful information you provide
23. Termination
You may stop using Shortlisted at any time.
We may suspend or terminate your access to Shortlisted if:
- You violate these Terms
- You misuse the service
- Your account creates security, legal, or operational risk
- Payment fails
- We discontinue the service
- We are required to do so by law
After termination, certain sections of these Terms will continue to apply, including provisions related to intellectual property, payments owed, disclaimers, limitation of liability, indemnification, and dispute resolution.
24. Changes to these Terms
We may update these Terms from time to time.
If we make material changes, we will take reasonable steps to notify users, such as updating the “Last updated” date, posting a notice, or sending an email where appropriate.
Your continued use of Shortlisted after updated Terms become effective means you accept the updated Terms.
25. Governing law
These Terms are governed by the laws of the State of California, without regard to conflict of law principles.
If you are located outside California, you may have additional rights under your local laws.
26. Dispute resolution
Before filing a formal claim, you agree to first contact us and try to resolve the dispute informally.
